Turn a rough event idea into a budget you can review. Estimate ticket income, fixed costs, per-guest costs and sponsorship, then check the attendance needed to cover your costs. Export the figures as CSV to continue planning in Excel, Google Sheets or Numbers.
How to use the event budget planner
- Choose a currency and estimate attendance, ticket income per guest and available sponsorship.
- Add fixed costs such as the venue and equipment, plus costs that increase with every guest. Use net ticket income after the fees and taxes you bear.
- Review the projected surplus or deficit and break-even attendance. Download the CSV to share your assumptions with your team.
Good to know
How is break-even attendance calculated?
Fixed costs minus sponsorship are divided by ticket income per guest minus variable cost per guest, rounded up to a whole guest. If sponsorship covers fixed costs, break-even is zero.
Why does it say Not achievable?
If each ticket brings in no more than the per-guest cost and fixed costs remain uncovered, selling more tickets will not reach break-even under these assumptions.
Does this include ticket fees and tax?
Only the amounts you enter are included. Enter your expected net ticket income or include applicable fees and taxes among costs. No live event prices are changed.
